AAPM Committee and Task Force Policies
The Purpose of AAPM Committees
AAPM committees exist as defined by the AAPM bylaws or as created by the president. Each committee has a specific ongoing charge, which guides it efforts. Committee chairs and members are AAPM members, appointed annually by the incoming president. Active members may chair committees.
It is expected that committee chairs will guide the committee in directions that are consistent with the published charge. Any proposed change to a committee charge must be submitted to the AAPM Board of Directors for consideration. Affiliate members may co-chair committees with an Active member. Active, Affiliate, Scientific, International, Trainee, Resident, and Student members may serve on committees. Committees meet in person or via teleconference as needed. Committees may make recommendations to the board. Recommendations will be reviewed for alignment with Academy priorities and budget implications.
The Purpose of AAPM Task Forces
AAPM task forces are created by the president to complete a specific, defined task and are limited in duration. Task forces are disbanded when their work is complete. It is expected that task force chairs will guide the task force in directions that are consistent with the published charge.
Chairs and members are AAPM members, appointed by the president. Active members may chair task forces. Affiliate members may co-chair task forces with an Active member. Active, Affiliate, Scientific, International, Trainee, Resident, and Student members may serve on task forces. Task forces meet in person or via teleconference as needed. Task forces may make recommendations to the board. Recommendations will be reviewed for alignment with Academy priorities and budget implications.
AAPM Committee and Task Force Expectations and Scope of Work
The following are expectations for committee and task force participation and what AAPM will provide:
- AAPM will provide administrative support for each committee, task force and SIG, through a staff liaison.
- All committee, task force, and SIG communications will be distributed through staff liaisons.
- Each committee, task force, and SIG chair will submit a written report of its activities to the Board for the annual and mid-year board meetings.
- All committee, task force, and SIG activities must align with the overall mission of the Academy.
- All resources requested and activities proposed in the name of an AAPM committee, task force, or SIG will be submitted to the AAPM Board for approval prior to expenditure unless already included in the approved budget.
- The work of any committee, task force, or SIG shall be considered the work product of the Academy and may not be used in other ways without the Academy’s expressed written consent.
- AAPM will provide meeting space during the Annual Meeting for each committee, task force, and SIG, upon request and as availability allows.
- Committee, task force, and SIG meetings during the Annual Meeting are intended to be in-person meetings. Participation is limited to those physically in attendance. No teleconference arrangements will be provided for meetings held at the Annual Meeting.
- No chemical or biological materials may be used in AAPM provided meeting space, unless previously specifically approved through headquarters staff.
- Committee, task force, and SIG emails and any files transmitted with it are confidential and intended solely for the use of the individual or entity to whom they are addressed. Unauthorized distribution beyond the original intended distribution list is prohibited.
